I. Position Summary:

As a Business Administration Assistant, you will play a crucial role in ensuring the smooth and efficient functioning of our office. You will work closely with various departments and provide administrative support to help streamline business processes. The successful candidate will be organized, detail-oriented, and capable of multitasking in a fast-paced environment.

II. Key Responsibilities:

  • Office Administration:

    • Greet and assist visitors, clients, and employees.

    • Maintain a tidy and organized office environment, including managing office supplies and equipment.

    • Handle incoming and outgoing mail, emails, and phone calls.

  • Data Entry and Record Keeping:

    • Enter data accurately into databases, spreadsheets, and other software systems.

    • Assist in maintaining records, files, and documentation in an organized manner.

  • Scheduling and Coordination:

    • Schedule appointments, meetings, and conferences.

    • Coordinate travel arrangements for staff members.

    • Prepare meeting agendas and take meeting minutes as required.

  • Document Preparation:

    • Draft and format business documents, reports, and presentations.

    • Proofread and edit documents for accuracy and consistency.

  • Partner Support:

    • Provide exceptional service to business partners by responding to inquiries and resolving issues in a timely and professional manner.

  • Financial Support:

    • Assist with basic financial tasks such as invoice processing, expense tracking, and reconciliations.

  • Human Resources Support:

    • Enter Employee data into correct systems.

    • Provide new employees with basic HR compliance documentation and onboarding.

    • Assist in ensuring HR compliance steps are completed for new and existing employees.

  • Team Collaboration:

    • Collaborate with colleagues to support cross-functional initiatives and projects.

    • Assist with special projects as assigned by management.

  • Adaptability and Other Duties:

    • Exhibit adaptability and responsiveness by actively embracing changes in job responsibilities or requirements. Candidates should demonstrate a flexible and collaborative approach to seamlessly incorporate modifications to the job description, proactively engage with new tasks, and align efforts with the evolving needs of the team and organization.

III. Qualifications:

A. Education:

  • High school diploma or equivalent; Associate’s or bachelor’s degree or relevant certification.

B. Experience:

  • Proven experience (2 years) in an administrative or relevant experience.

C. Skills:

  • Proficiency in cloud based software applications.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to handle sensitive and confidential information with discretion.

  • Basic knowledge of office equipment.

IV. Other Requirements:

  • Work Hours: Monday through Friday. 8am-5pm MDT (Mountain Daylight Time in the US).

  • In Office Working: In8Sync Office, Grand Junction, Colorado.
